The Forecasting page is where you can generate and view your financial and product mix forecasts, and view the predicted transaction count and sales amounts displayed in Schedule - New.

The Forecasting page may be reached through:

Forecasts generated take into consideration historical sales and product mix data, weather, events, promotions, and holidays and closures. Promotions that correspond with the forecast week can impact the forecast based on the controls selected. Additionally, the user can make adjustments to the forecast as per their discretion.

The historical data used to generate a forecast is taken from certain weeks called trend weeks Past weeks that can be considered the trend for the week being forecasted. The data of trend weeks is used in the calculation of forecasts.. Trend weeks are selected by your organization and/or the user that generated the forecast, and are meant to be previous weeks that represent the week being forecast.

Trend weeks Past weeks that can be considered the trend for the week being forecasted. The data of trend weeks is used in the calculation of forecasts. for the financial forecast and the product mix forecast are in two separate tabs and you can select different trend weeks Past weeks that can be considered the trend for the week being forecasted. The data of trend weeks is used in the calculation of forecasts. for each of them to account for different trends in expected transaction count and menu item sales.

EXAMPLE

While your financial forecast might do well with using the last four weeks as trend weeks Past weeks that can be considered the trend for the week being forecasted. The data of trend weeks is used in the calculation of forecasts., you could be switching to a seasonal menu, which would require the data of last year for the product mix forecast.

The forecast for a week is made up of two parts:

  • Financial: Predicts the sales expected for the week, each day of the week, each part of the day and each time period.

  • Product Mix: Predicts the number of menu items (grouped by Product Group, Product Mix or individually as Menu Item) expected to be sold for the week and each day of the week.

Additionally, the schedule forecast - a by-product of the financial forecast, provides you with the financial figures used in Schedule - New.

Financial and Product Mix

Select Financial from the View drop-down list using the filters Drop-down boxes that let you select from the options available. at the top of the page to view a list of all the financial and product mix forecasts.

The following information is displayed on the page:

  • Financial Week Period: The start and end day of the week and time for which each forecast was generated.

    Click here to learn how to change the financial week in Financial Reporting.

  • Week Ending: The last day of the week of the forecast.

  • Count: The number of transactions expected for each day and the total for the week.

  • Sales: The total value of sales expected for each day and for the week.

  • Status: Indicates whether the forecasted week is in the past or not.

    • Closed: The forecast is for a past week.

    • Open: The forecast is for the current week or a future week.

Financial

TO VIEW A FINANCIAL FORECAST:

  1. Open the Forecasting page.

  2. Select the Area* and Store for which you want to view the forecast from the drop-down list(s).

  3. Select Financial from the View drop-down list.

  4. Click on the Go button.

  5. Click on the Week Ending of the forecast you want to view.

The following information is displayed on the Update Forecast page:

  • Forecast Period: The day, day part or time period of the forecast data.

  • Original:

    • Count: The number of transactions expected during the forecast period, before manual adjustments were made by users in your organization.

    • Sales: The total value of sales expected during the forecast period, before manual adjustments were made by users in your organization.

    • Avg. Check: The average value of each transaction for the period, before manual adjustments were made by users in your organization.

      Avg. Check = Sales / Count

  • Forecast Adjustment: The percentage by which the forecast was manually adjusted by the user that generated the forecast.

    A value in brackets indicates that the forecast was reduced by that percentage.

    • Update Count & Sales*: The percentage by which the count and sales were adjusted. A single figure indicates that both the count and sales were adjusted by the same percentage.

    • Update Count Only*: The percentage by which the count was adjusted.

    • Update Sales Only*: The percentage by which the sales was adjusted.

  • Forecast Results:

    • Count: The number of transactions expected during the forecast period after manual adjustments made by the user that generated the forecast.

    • Sales: The total value of sales expected during the forecast period after manual adjustments made by the user that generated the forecast.

    • Avg. Check: The average value of each transaction for the period after manual adjustments made by the user that generated the forecast.

      Avg. Check = Sales / Count

Product Mix

TO VIEW A PRODUCT MIX FORECAST:

  1. Open the Forecasting page.

  2. Select the Area* and Store for which you want to view the forecast from the drop-down list(s).

  3. Select Financial from the View drop-down list.

  4. Click on the Go button.

  5. Click on the Week Ending of the forecast you want to view.

  6. In the Update Forecast window:

    1. Click on the Product Mix tab.

    2. Select a day from the Display Product Mix for drop-down list to view the forecast for the day.

The following information is displayed on the Update Forecast page in the Promotion Participation section:

  • Name: The name of the promotion.

  • Start Date: The date on which the promotion is expected to start affecting sales.

  • End Date: The last date on which the promotion is expected to affect sales.

  • Scope:

  • Participating:

    • Yes indicates that the store will be impacted by the promotion.

    • No indicates that the store will not be impacted by the promotion and hence the product mix forecast has not been adjusted by the lift values of the promotion.

  • Lift Impact:

    • Default indicates that the promotion was created by your support team, pushed to all stores and has not been overridden.

    • Custom indicates that the promotion was either created your support team, pushed to all stores and has been overridden, or was created ) OR was created by a CLEARVIEW user in your organization.

The following information is displayed on the Update Forecast page in the Forecasted Product Mix section:

  • Display Product Mix for: The period for which the information in the table is displayed.

  • Product Mix: The name of the product group, product mix or menu item.

  • Original Trend Values*:

    • Original Trend Units*/Units*: The units expected to be sold before manual adjustments made by the user that generated the forecast.

    • Units Per 1000 trx: The units expected to be sold per 1000 transactions before manual adjustments made by the user that generated the forecast

  • Promotional Lift*:

    • Promotional Lift Unit Impact*/Unit Impact*: The number of units by which the forecast is expected to increase (or decrease - in the case of numbers in brackets) due to promotions.

    • Units Per 1000 trx: The number of units by which the forecast is expected to increase (or decrease - in the case of numbers in brackets) per thousand transactions due to promotions.

  • Manual Adjustments: The adjustments made by the user that generated the forecast.

    • Adjustment %: The percentage by which the forecast was adjusted.

    • Unit Impact: The number of units by which the forecast was increased (or decreased - in the case of numbers in brackets).

    • Units Per 1000 trx*: The number of units by which the forecast was increased (or decreased - in the case of numbers in brackets) per 1000 transactions.

  • Total Forecasted Units: The total units forecasted for the day or week.

    Total Forecasted Units = Original Trend Units + Promotional Lift Unit Impact + Manual Adjustment Unit Impact

Report links:

  • Click on a product group in the Product Mix column to view the forecast for the product mix that fall in the product group.

  • Click on a product mix in the Product Mix column to view the forecast for the menu items that fall in the product mix.

  • Click on Total Forecasted Units to view the Units Per 1000 trx.

  • Click on the Show Details vvv link in the top-right corner of the page to view the details of the forecast.

Schedule

The schedule forecast provides insights to the data used for the Stats in Schedule - New.

While the financial data used for the Stats in Schedule - New is obtained from the financial forecast, if your scheduling week differs from your financial week (they start on different days of the week and/or time), looking at the financial forecast might not give you an accurate picture of the data used. The schedule forecast hence breaks the financial forecast down to the scheduling period so that you can see exactly what data was used for the Stats.

The following information is displayed on the page:

TO VIEW A SCHEDULE FORECAST:

  1. Open the Forecasting page.

  2. Select the Area* and Store for which you want to view the forecast from the drop-down list(s).

  3. Select Schedule from the View drop-down list.

  4. Click on the Go button.

  5. Click on the Week Ending of the forecast you want to view.

The following information is displayed on the Forecast - Schedule Week View page:

  • Schedule Period: The period of the schedule forecast.

  • Forecast Week: The financial week ending for which the forecast was generated.

  • Count: The number of transactions predicted for the period.

  • Amount: The amount of sales expected for the period.

The schedule forecast is only available for the days for which a financial forecast has been generated. Hence, if your scheduling week differs from your financial week, the schedule forecast will not be available for the days not covered in the last financial forecast.

Report links:

  • Click on the day of the week for which you want to view the schedule forecast for each day part.

TO CREATE A FORECAST:

This process generates the financial, product mix and schedule forecasts together.

  1. Open the Forecasting page.

  2. Select the Area* and Store for which you want to create the forecast from the drop-down list(s).

  3. Select Financial from the View drop-down list.

  4. Click on the Go button.

  5. Click on the Create button.

  6. In the Create Forecast window:

    1. Select the Area*, Store and Forecast Week Ending for which you want to create the forecast using the drop-down lists.

    2. Click on the Go button.

  7. In the Update Forecast window:

    ClosedTo adjust the number of transactions and sales for the week:

    1. Click on the Edit button in the first row of the table in the Financial tab.

    2. To adjust the transactions count and sales forecast by the same percentage, enter the percentage in the Update Count & Sales column for the day.

    3. To adjust the count and sales by different percentages, click on the Forecast Adjustment % >>> link and then enter the percentages in the Update Count Only and Update Sales Only columns.

    4. Click on the Update button.

    ClosedTo adjust the number of transactions and sales for a whole day:

    1. Click on the Edit button next to the day that you want to adjust the transactions count and sales, in the Financial tab.

    2. To adjust the transactions count and sales forecast by the same percentage, enter the percentage in the Update Count & Sales column for the day.

    3. To adjust the count and sales by different percentages, click on the Forecast Adjustment % >>> link and then enter the percentages in the Update Count Only and Update Sales Only columns.

    4. Click on the Update button.

    ClosedTo adjust the financial count and sales for a part of the day:

    1. Click on the name of the day for which you want to adjust the day part, in the Financial tab.

    2. Click on the Edit button next to the day.

    3. To adjust the transactions count and sales forecast by the same percentage, enter the percentage in the Update Count & Sales column for the day part.

    4. To adjust the count and sales by different percentages, click on the Forecast Adjustment % >>> link and then enter the percentages in the Update Count Only and Update Sales Only columns.

    5. Click on the Update button.

    ClosedTo adjust the financial count and sales for a particular time period in the day:

    1. Click on the name of the day for which you want to adjust the particular time period, in the Financial tab.

    2. Click on the day part that contains the time period.

    3. Click on the Edit button next to the day.

    4. To adjust the transactions count and sales forecast by the same percentage, enter the percentage in the Update Count & Sales column for the day part.

    5. To adjust the count and sales by different percentages, click on the Forecast Adjustment % >>> link and then enter the percentages in the Update Count Only and Update Sales Only columns.

    6. Click on the Update button.

    1. Click on the Next (Save) button.

    2. Select the day for which you want to adjust the product mix forecast from the Display Product Mix for drop-down list.

      Select Full Week from the Display Product Mix for drop-down list to adjust the forecast by the same percentage for the entire week.

    ClosedTo adjust the product mix forecast for a product group:

    1. Click on the Edit button next to the product group.

    2. Enter the percentage by which you want to adjust the forecast in the Adjustment % column.

    3. Click on the Update button.

      The percentage entered will be modified by CLEARVIEW to obtain the nearest whole number of units.

    ClosedTo adjust the product mix forecast for a product mix:

    1. Click on the name of product group that contains the product mix for which you want to adjust the forecast.

    2. Click on the Edit button next to the product mix for which you want to adjust the forecast.

    3. Enter the percentage by which you want to adjust the forecast in the Adjustment % column.

      The percentage entered will be modified by CLEARVIEW to obtain the nearest whole number of units.

    4. Click on the Update button.

    ClosedTo adjust the product mix forecast for a menu item:

    1. Click on the name of product group that contains the menu item for which you want to adjust the forecast.

    2. Click on the name of product mix that contains the menu item for which you want to adjust the forecast.

    3. Click on the Edit button next to the menu item for which you want to adjust the forecast.

    4. Enter the percentage by which you want to adjust the forecast in the Adjustment % column.

      The percentage entered will be modified by CLEARVIEW to obtain the nearest whole number of units.

    5. Click on the Update button.

    1. Click on the Finish (Save) button.

Once generated, a forecast is static and will not change based on new sales and general information logged into CLEARVIEW.

If you generate forecasts for more than one week into the future, it's best to check the forecasts at the end of each week to ensure its credibility, and edit or regenerate it (only trend weeks Past weeks that can be considered the trend for the week being forecasted. The data of trend weeks is used in the calculation of forecasts. selected for the financial forecast cannot be changed through the edit process), if necessary. To regenerate a forecast, you will have to delete the forecast and then generate it once again.

TO EDIT A FORECAST:

  1. Open the Forecasting page.

  2. Select the Area* and Store for which you want to edit the forecast from the drop-down list(s).

  3. Select Financial from the View drop-down list.

  4. Click on the Go button.

  5. Click on the Week Ending of the forecast that you want to edit.

  6. In the Update Forecast window:

    ClosedTo adjust the number of transactions and sales for the week:

    ClosedTo edit the trend weeks used for the product mix forecast and the promotions applied:

    1. Click on the Show Details vvv link in the top-right corner of the window.

    2. Click on the X week(s) of sales data link (where X is the number of weeks that were selected for the forecast) next to Product Mix based on.

    3. Click on the Modify Weeks button in the Trend Week Review window.

    4. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

    5. In the Trend Week Review window:

      ClosedTo add trend weeks:

      1. Select the Year in which one of the weeks that you'd like to use as a reference for the product mix forecast falls in.

      2. Select the Week.

      3. Click on the Preview button to view the data for the week if required.

        • To remove certain days (in case the data is not representative of a typical day) click on next to the day and then click on Calendar icon to select a replacement day.

      4. Click on the Add Week button to include the week in the Trend Weeks Selected.

      5. Repeat steps i to iv for each week that you'd like to use for the product mix forecast.

        The number of weeks you can select may be restricted by the controls selected in Forecasting settings.

      ClosedTo remove a week from Trend Weeks Selected:

      1. Click on next to the Week Ending to remove the week in the Trend Weeks Selected section, if required.

      1. Click on the Save Changes button.

      2. Click on the No, continue without review button in the pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview. if you don't want to make any changes to the promotions applied.

      ClosedTo make changes to the promotions applied:

      1. Click on the Yes button in the Would you also like to modify your promotional lifts? pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

      2. Select Yes or No from the Participating? drop-down list to opt in or out of each of the promotions.

        Opting out of a promotion will disregard all lifts that are included in the promotion when creating the forecast. However, your store could still offer the promotion to your customers.

        ClosedTo create a new promotion:

        1. Click on the Create button.

        2. In the Promotions window:

            1. Enter a Name for the promotion.

            2. Select the date on which the promotion is expected to start affecting sales from the Lift Start drop-down calendar.

            3. Select the last day on which the promotion is expected to affect sales from the Lift End drop-down calendar.

              Promotions can be created for a maximum period of two weeks. This restriction is in place to account for changes in demand that may occur during a long promotion run.

              To run a promotion for a longer period for longer than two weeks:

              1. Create the promotion for the first two week period.

              2. Copy the promotion and set the Lift Start and Lift End dates for the remainder period.

            4. Click on the Next (Save) button.

            5. Click on the Add button to add menu items that will be affected by the promotion.

            6. In the Add Menu Item window:

              1. Use the filters Drop-down boxes that let you select from the options available. at the top of the page to search for the menu item(s).

              2. Click on the Search button.

              3. Place a checkmark in the Include? column for each of the menu items to be added.

                Add all menu items that will be affected by the promotion and not just items that are being promoted. For example, if the promotion is a discount for a certain burger, you could expect an increase of sales for that burger and a decrease of sales for some other similar menu items.

              4. Click on the Update button.

            7. Repeat steps e to f for any other menu items to be added.

            8. Select the Lift Type from the drop-down list for each menu item.

            9. Enter the Lift Value for the menu item.

            10. Click on the Next (Save) button.

            11. Select the store(s) for which you want to apply the promotion from the Store drop-down list.

            12. Select Participation from the Mode drop-down list.

            13. Click on the Go button.

            14. Place a checkmark in the Participating? column next to each store for which the promotion will be applicable.

            15. Click on the Update button.

              ClosedTo change the lift value for a particular store:

              1. Select Update Lifts in the Mode drop-down box.

              2. Click on the Go button.

              3. If you selected more than one store in step k, click on + in the Show Stores* column or click on the link in the *Override Lift Value column for the menu item that you want to change the lift value The amount of units expected to sell or increase/decrease in sales of the product expected due to the associated promotion. for.

              4. Enter the new lift value The amount of units expected to sell or increase/decrease in sales of the product expected due to the associated promotion. in the Override Lift Value column for the store(s) that you want to change the lift value The amount of units expected to sell or increase/decrease in sales of the product expected due to the associated promotion. for.

              5. Click on the Update button.

            16. Click on the Finish (Save) button.

      1. Click on the Finish (Save) button.

    1. Click on the Next (Save) button.

    2. Select the day for which you want to adjust the product mix forecast from the Display Product Mix for drop-down list.

      Select Full Week from the Display Product Mix for drop-down list to adjust the forecast by the same percentage for the entire week.

    ClosedTo adjust the product mix forecast for a product group:

    1. Click on the Edit button next to the product group.

    2. Enter the percentage by which you want to adjust the forecast in the Adjustment % column.

    3. Click on the Update button.

      The percentage entered will be modified by CLEARVIEW to obtain the nearest whole number of units.

    ClosedTo adjust the product mix forecast for a product mix:

    1. Click on the name of product group that contains the product mix for which you want to adjust the forecast.

    1. Click on the name of product group that contains the menu item for which you want to adjust the forecast.

    2. Click on the name of product mix that contains the menu item for which you want to adjust the forecast.

    3. Click on the Edit button next to the menu item for which you want to adjust the forecast.

    4. Enter the percentage by which you want to adjust the forecast in the Adjustment % column.

      The percentage entered will be modified by CLEARVIEW to obtain the nearest whole number of units.

    5. Click on the Update button.

    1. Click on the Finish (Save) button.

TO DELETE A FORECAST:

Only financial/product mix forecasts can be deleted. Deleting a forecast will automatically delete the schedule forecast for the corresponding days.

  1. Open the Forecasting page.

  2. Select the Area* and Store for which you want to delete the forecast from the drop-down list(s).

  3. Select Financial from the View drop-down list.

  4. Click on the Go button.

  5. Click on the Week Ending of the forecast that you want to delete.

  6. In the Update Forecast window:

    1. Select Delete from the Forecast Options drop-down list in the top-right corner of the page.

    2. Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..
